OVERVIEW
As of August 2020, the process of tagging/updating invoices in a communication has been reworked and simplified to give end users a quicker/easier way to tag invoices. This reworked process changes how invoices are tagged and also allows you to enter disputes and promise to pays in the same window.
This new functionality is currently limited to our SARA Preview Pages. If you are interested in learning more about this, please reach out to an SARA representative or reach out to atcsupport@sage.com for more information.
STEPS
On the "Transactions" tab of an open communication, you will notice 5 new buttons available for use. Below is a quick explanation of what each is used for.
EXPECTED PAYMENTS - Previously handled on the "Payments" tab, this window allows you to record an upcoming expected payment for your open invoices.
DISPUTE - Allows you to record a dispute your invoices.
EXCLUDE FROM AGING - Allows you to remove certain invoices from being calculated in the aging bucket totals.
RESOLVE - Used to resolve open issues regarding unpaid invoices.
TAG - The new process of tagging invoices. More information on the process will be found below.
Before you enter an expected payment, dispute, etc... you will need to tag the invoices in question first. Select the box found on the left for each invoice record you want to include before you open any window. Once the invoices are selected, you can proceed with entering your expected payments/dispute.
NOTE - The Dispute, Exclude from Aging, Resolve, Tag windows will be grayed out and cannot be opened until one or more invoices are tagged first.
Below is a quick tutorial for each of the windows. Starting with the "Tag" window, since it is the most used feature.
TAGGING

Select one or more invoices from the list by clicking the box found to the left of each invoice record.

Once selected, click on the "Tag" button.

Toggle the "Tag Transactions" switch. It will say "Yes" next to the switch to notate they were properly tagged. From here, you can assign a reason code to these invoices (if desired).

Select "Save" to confirm and return to the transactions tab.
EXPECTED PAYMENTS

Select one or more invoices from the list by clicking the box found to the left of each invoice record.

Once selected, click on the "Expected Payments" button.

Toggle the "Tag as Expected Payments" switch. It will say "Yes" next to the switch to notate they were properly tagged.

From here, enter the payment amount and the date is was promised. If the customer promised the payment by that date, toggle the "Customer Promised" switch.

Select "Save" to confirm and return to the transactions tab.
DISPUTE

Select one or more invoices from the list by clicking the box found to the left of each invoice record.

Once selected, click on the "Dispute" button.

Toggle the "Tag as Disputed" switch. It will say "Yes" next to the switch to notate they were properly tagged.

From here, enter the amount being disputed, the date it was disputed, the reason why it was disputed, and opt to exclude it from the aging buckets (optional). Afterward, enter a short note describing the dispute reason.

Select "Save" to confirm and return to the transactions tab.
EXCLUDE FROM AGING

Select one or more invoices from the list by clicking the box found to the left of each invoice record.

Once selected, click on the "Exclude from Aging" button.

Toggle the "Tag as Excluded" switch. It will say "Yes" next to the switch to notate they were properly tagged.

Beneath the switch, it will notate the total dollar amount being excluded from the aging buckets.

Select "Save" to confirm and return to the transactions tab.
RESOLVE

Select one or more invoices from the list by clicking the box found to the left of each invoice record.

Once selected, click on the "Resolve" button.

Toggle the "Tag as Resolved" switch. It will say "Yes" next to the switch to notate they were properly tagged.

From here, you can notate when the dispute/issue was resolved and also notate the amount that was resolved.

Select "Save" to confirm and return to the transactions tab.
